Sparrowhawk Group – Privacy Notice
(effective 17 June 2025)

Sparrowhawk Group, LLC (“Sparrowhawk,” “we,” “our”) provides back-office services to licensed insurance agencies and brokers. We do not sell insurance directly to consumers and do not sell personal information.

1. Information We Process

We may receive, on behalf of our clients:

  • Policyholder details – name, postal address, e-mail, phone

  • Insurance information – policy number, coverage type, premium or claim data

  • Business-contact data – name, title, work contact details of agency staff

We do not intentionally collect Social Security numbers, payment card numbers, medical information, or any data from individuals under 13.

2. How We Use Information

We use personal information only to:

  1. Perform contracted back-office and administrative services for the insurance agency that provided the data;

  2. Comply with legal or regulatory obligations;

  3. Protect the rights, property, or safety of Sparrowhawk, our clients, or others.

We do not use this data for marketing, analytics, or any unrelated purpose without the client’s written permission.

3. How We Protect Information

  • Encryption – TLS 1.2/1.3 in transit, AES-256 at rest

  • Access controls – multi-factor authentication and least-privilege roles

  • Monitoring – continuous security monitoring and logging

  • Retention & disposal – data kept only as long as required by contract or law, then securely deleted or destroyed

4. Sharing with Third Parties

We share information only with:

  • The client that owns the data;

  • Approved service providers (e.g., secure cloud hosting) under written confidentiality and data-protection agreements;

  • Regulators or law-enforcement agencies when legally required.

We do not sell or rent personal information to anyone.

5. Your Privacy Rights

If you are a customer of one of our client agencies and wish to access, correct, delete, or restrict use of your personal information, please contact that agency directly. We will assist them in responding to your request within applicable legal time-frames.
